Transparency
Employees should inform supervisors of AI tool usage and clearly label AI-assisted drafts as appropriate for the context. AI-assisted work is a demonstration of proficiency — not something to conceal. Employees who share AI productivity techniques with colleagues strengthen the organization.
Confidentiality & Data Classification
Do not input confidential, proprietary, or personally identifiable information into public cloud AI tools (ChatGPT free tier, Claude free tier, Gemini free tier, Perplexity free tier) unless explicitly authorized. What to Include in Each Section
Each section of the template serves a specific behavioral objective. Understanding the intent helps you customize language that maintains effectiveness.
Purpose Section: This is where most organizations make their first mistake — leading with risk rather than benefit. The Purpose section must establish AI as an opportunity and the policy as an enablement tool, not a restriction. Employees who encounter a policy that opens with risk language approach it defensively. The goal is to create readers who are engaged, not compliant.
Confidentiality Section: This is the most operationally important section for preventing data exposure. The key is giving employees a simple visual decision rule rather than a classification taxonomy. Chapter 5 documents the principle: "Policies can specify that any information can be put into [approved local AI tool] so long as it is legal because enterprise data and security are locked down by default due to the local processing of that data never leaving the device. This gives employees a simple visual cue."
